QuickBooks Integration and Accounting Data

Evergreen may provide an integration with Intuit QuickBooks Online to support authorized accounting and billing functions.

When a QuickBooks company is connected to Evergreen, Evergreen may access, create, synchronize, or maintain accounting information reasonably necessary to provide the enabled functionality. Depending on the features authorized and used, this may include information relating to customers, products or services, invoices, payments, transaction status, company information, and related accounting records.

QuickBooks data is used only for legitimate Evergreen business and application functions, such as synchronizing approved products or services, creating or tracking authorized invoices, maintaining billing status, reconciling applicable payment information, and supporting accounting operations.

Evergreen does not sell QuickBooks data.

Evergreen does not provide unrelated third parties with access to QuickBooks data for their own independent marketing or commercial purposes.

Access to QuickBooks information is subject to the permissions granted through the QuickBooks authorization process and the functionality enabled within Evergreen.

Users may disconnect an authorized QuickBooks connection. When authorization is revoked or a connection is terminated, Evergreen will cease further access through that authorization, subject to information that must be retained for legitimate legal, accounting, security, fraud-prevention, or recordkeeping purposes.

QuickBooks is a service provided by Intuit Inc. Use of QuickBooks is also subject to Intuit's applicable terms and privacy practices.

Information Sharing and Disclosure

We do not sell personal information.

We may disclose information when reasonably necessary to:

  • Service providers that assist us in operating our business or technology
  • Accounting, payment, communications, document-management, hosting, security, or other technology providers used to provide our services
  • Lending or funding partners when authorized by the client and necessary for the requested service
  • Credit-related service providers when authorized by the client
  • Professional advisers where reasonably necessary
  • Government agencies, regulators, courts, law enforcement, or other parties when disclosure is required or permitted by law
  • Protect Evergreen, our clients, or others from fraud, misuse, security threats, or unlawful activity

Service providers receiving information on our behalf are expected to use the information only as necessary to perform the services for which they were engaged and subject to applicable contractual and legal obligations.

Data Security

Evergreen uses reasonable administrative, technical, and organizational safeguards designed to protect information against unauthorized access, disclosure, alteration, misuse, or destruction.

Where appropriate, these safeguards may include access controls, authentication controls, encryption, restricted administrative permissions, secure communications, activity logging, and other security measures.

No electronic system or method of transmission can be guaranteed to be completely secure, and therefore we cannot guarantee absolute security.

Data Retention and Deletion

Evergreen retains personal, business, accounting, and service information only for as long as reasonably necessary to:

  • Provide the requested services
  • Maintain legitimate business and accounting records
  • Fulfill contractual obligations
  • Resolve disputes
  • Maintain security and fraud-prevention records
  • Comply with applicable legal, tax, regulatory, and recordkeeping obligations

When information is no longer reasonably necessary for these purposes, Evergreen may securely delete, destroy, or anonymize it in accordance with applicable requirements and operational practices.

A client may request deletion of eligible personal information by contacting Evergreen. Certain information may need to be retained where required or permitted by law or where necessary for legitimate accounting, contractual, security, fraud-prevention, or recordkeeping purposes.

Disconnecting a third-party integration prevents future access through that authorization but may not automatically delete records that Evergreen is legally or operationally required to retain.

QuickBooks Data Retention and Disconnection

When an authorized QuickBooks connection is disconnected, Evergreen stops using that authorization for future QuickBooks API access and attempts to revoke the applicable authorization with Intuit. Stored authorization credentials associated with the disconnected connection are removed from active use. If remote revocation cannot be confirmed because of a provider or network error, Evergreen may require administrative review to confirm revocation directly through QuickBooks.

Evergreen may maintain synchronized QuickBooks Product and Service information to support authorized package mapping and billing administration. This information is associated with the QuickBooks company, realm, and operating environment from which it originated. Information from a previously connected company or environment is not treated as active information for a newly connected QuickBooks company and may be deactivated, replaced, or deleted when no longer reasonably necessary.

Customer, invoice, payment, billing, and transaction references previously created or synchronized may be retained where reasonably necessary to maintain legitimate accounting and business records, satisfy tax or legal requirements, resolve disputes, prevent fraud, maintain security, or document authorized activity.

Evergreen may also retain limited audit and security records relating to QuickBooks connection, disconnection, synchronization, authentication, authorization, and administrative activity. These records are designed not to contain QuickBooks OAuth tokens, client secrets, encryption keys, or unnecessary provider response data.

Information contained in secure backups may remain in backup copies for a limited period after deletion from active systems and will remain subject to Evergreen's security and retention practices until the applicable backup is securely replaced, expires, or is destroyed.

Disconnecting QuickBooks from Evergreen does not delete information independently maintained by Intuit or terminate the user's QuickBooks account. Requests concerning information maintained directly by Intuit should be directed to Intuit where appropriate.

Your Choices and Rights

Subject to applicable law, you may request access to, correction of, or deletion of eligible personal information maintained by Evergreen.

You may also withdraw certain permissions or disconnect supported third-party integrations.

Requests may be submitted using the contact information below. We may take reasonable steps to verify a request before providing, modifying, or deleting information.

Third-Party Services

Evergreen may integrate with or provide links to third-party services. Those companies operate under their own terms, privacy policies, and security practices.

Authorization of a third-party integration does not transfer ownership of your information to Evergreen or the third-party provider beyond the rights necessary to provide the authorized services.

Policy Changes

We may update this Privacy Policy as Evergreen's services, technology, integrations, or legal obligations change.

Updates will be posted on this page with a revised "Last Updated" date. Material changes may be communicated through additional means when appropriate.
